For repeat rugged-phone orders, require proposed substitutions to be identified before the changed configuration is accepted. A matching family name or exterior color is insufficient when the deployed applications depend on a particular operating system, memory configuration or hardware option.
Define what must stay consistent
Use an agreed specification reference on the order and retain the accepted sample's configuration. Identify the fields that matter to the deployment: operating system and build, physical RAM, storage, network version, required modules and included accessories. A sample check supports that sample; it does not prove that every later unit matches it.
| Supply situation | Required decision before acceptance |
|---|---|
| A different memory option is offered | Compare the complete configuration and repeat affected app checks |
| A software build changes | Review provisioning and the critical workflow on the offered build |
| An accessory changes | Identify the replacement and check the intended connection or charging task |
| The same model is supplied in several lots | Keep lot or unit references linked to the applicable specification |
| A difference is discovered at receipt | Record it and resolve disposition before deployment |
Use the T1 as a configuration example
The current T1 tablet has distinct listed versions: Gray is 6GB RAM, 128GB storage and Android 16; Green is 8GB RAM, 128GB storage and Android 10. This illustrates why a family name alone cannot define an order. It is not a claim that either tablet replaces a smartphone or that all product differences follow the same color scheme.
Write the response to an exception
Ask the supplier to describe the difference, affected units and supporting configuration sheet. Your technical team can then approve the changed setup, request another sample or retain the original requirement. Keep the decision with the shipment record and avoid treating delivery pressure as technical approval.
Discuss the required order configuration with Phonemax. For customized requirements, use the OEM/ODM enquiry route. This is a proposed procurement control, not a guarantee of inventory, unchanged components or a contractual substitution policy.
